When you use HaulBadge, we may collect the following:

Carrier and broker applicants:

• Company name, DOT/MC number, owner name, email address, phone number, state, EIN
• Uploaded documents: insurance Certificate of Insurance (COI), government-issued photo ID, FMCSA authority letter
• Company type (broker, carrier, or both) and capacity information

General visitors and DOT lookup users:

• We do not require account creation for the free DOT lookup tool
• We may collect IP address, browser type, device type, and pages visited for analytics and abuse prevention
• Search queries (DOT/MC numbers entered) may be logged for service improvement

• To verify carrier and broker identity, insurance, and FMCSA authority
• To display verified carrier profiles to users searching our platform
• To detect and prevent fraud, double-brokering, and fake accounts
• To communicate with you about your application status or account
• To improve our verification algorithms and platform features
• To comply with applicable laws and respond to legal requests

By uploading documents to HaulBadge, you consent to those documents being processed by third-party artificial intelligence services, including OpenAI's API, for automated analysis.

• Insurance COI documents are analyzed by AI to extract coverage details, named insured, expiry dates, and coverage amounts.
• Government-issued ID documents are analyzed by AI to verify name, expiry, and authenticity indicators.
• Documents are transmitted to OpenAI's API over encrypted connections.
• We do not permanently store document images after analysis is complete. File paths are stored but the actual document images are retained in secure storage only as long as needed for verification review.
• AI analysis results (extracted data such as names, dates, and coverage amounts) may be stored as part of your carrier record.
• OpenAI's data handling is governed by their privacy policy at openai.com/privacy.

HaulBadge uses publicly available data from the FMCSA SAFER database. This data is provided by the U.S. Department of Transportation and is publicly accessible. HaulBadge is not affiliated with or endorsed by FMCSA or the U.S. government.

Online reputation data displayed on HaulBadge is sourced from public web searches using the Brave Search API. This data is publicly available and HaulBadge does not create, modify, or endorse any third-party review content.

HaulBadge does not collect, store, or process payment card information. All payments are handled by Stripe, Inc., a third-party payment processor.

• We never see your full card number. Payment details are entered directly into Stripe's secure payment interface and are never transmitted to or stored by HaulBadge.
• What Stripe collects: credit card numbers, billing address, CVV, and other payment information necessary to process your transaction. This data is governed by Stripe's Privacy Policy at stripe.com/privacy.
• What HaulBadge receives from Stripe: a tokenized customer ID, subscription status, last 4 digits of your card, card type, and billing dates. We use this to manage your subscription and display your plan details in your account.
• HaulBadge is not responsible for how Stripe collects, stores, or processes your payment data. Any payment data disputes, security concerns, or issues with Stripe's systems should be directed to Stripe at stripe.com/contact.
• By making a payment on HaulBadge, you consent to your payment information being processed by Stripe in accordance with their terms and privacy policy.

We do not sell your personal information. We may share data in these limited cases:

• Verified carrier profiles — company name, DOT number, HaulBadge ID, trust score, and verification status are publicly visible to anyone searching our platform. Personal ID documents and financial information are never shared publicly.
• Stripe — payment information is processed by Stripe, Inc. as described in Section 5. We share only what is necessary to complete your transaction.
• AI processing — documents are shared with OpenAI for analysis as described in Section 3.
• Search providers — DOT numbers may be sent to the Brave Search API for reputation scanning.
• Service providers — hosting (Vercel), database (Supabase), and analytics providers under strict confidentiality agreements.
• Legal requirements — if required by law, court order, or to protect the safety of users or the public.
• Fraud prevention — we may share information with law enforcement if we detect fraudulent document submission or identity fraud.

• Uploaded documents are stored in encrypted cloud storage (Supabase Storage).
• Documents are accessible only to HaulBadge staff for verification review purposes.
• Documents are never shared publicly or with other carriers or brokers.
• Carrier profiles are retained as long as the account is active.
• Upon account deletion request, documents are deleted within 30 days.
• You may request deletion of your documents at any time by contacting support@haulbadge.com.

We use minimal cookies for session management and analytics. We do not use advertising cookies, behavioral tracking cookies, or sell browsing data to third parties. We may use privacy-respecting analytics to understand how the service is used.

We use industry-standard security practices including TLS encryption in transit, encrypted storage at rest, access controls, and regular security reviews. No system is 100% secure. If you believe your account has been compromised, contact us immediately at support@haulbadge.com.

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Opt out of non-essential communications
• Request a copy of your data in a portable format

HaulBadge is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

We may update this policy from time to time. We will notify registered users of material changes by email. Continued use of HaulBadge after changes are posted constitutes acceptance of the revised policy.
