When you use HaulBadge, we may collect:

• Carrier applicants: Company name, DOT/MC number, owner name, email, phone, state, EIN, and uploaded documents (insurance COI, government-issued ID, authority letter).
• Brokers and searchers: We do not require account creation for the free DOT lookup tool. If you create an account, we collect your email and company name.
• Usage data: IP address, browser type, pages visited, and search queries — used to improve the service and detect abuse.

• To verify carrier identity, insurance, and authority through FMCSA and AI document review.
• To display verified carrier profiles to brokers and vehicle owners searching our platform.
• To detect and prevent fraud, double-brokering, and fake accounts.
• To communicate with you about your application status or account.
• To improve our verification algorithms and platform features.

HaulBadge uses publicly available data from the Federal Motor Carrier Safety Administration (FMCSA) SAFER database. This data is provided by the U.S. Department of Transportation and is available to the public. HaulBadge is not affiliated with FMCSA or the U.S. government.

We do not sell your personal information. We may share data in these limited cases:

• Verified carrier profiles are visible to brokers and vehicle owners searching our platform — this includes company name, DOT number, HaulBadge ID, trust score, and verification status. It does not include personal ID documents or financial information.
• Service providers who help us operate the platform (hosting, AI document processing, database services) under strict confidentiality agreements.
• Legal requirements — if required by law, court order, or to protect the rights and safety of HaulBadge users.

Uploaded documents (insurance COI, government ID, authority letters) are stored securely and encrypted. They are used solely for verification purposes and are not shared publicly. Carrier owners may request deletion of their documents at any time by contacting us.

We use minimal cookies for session management and analytics. We do not use advertising cookies or sell browsing data to third parties.

Carrier profiles are retained as long as the account is active. Verification documents are retained for up to 2 years after the last verification or account closure. Usage logs are retained for up to 90 days.

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate information.
• Request deletion of your account and associated data.
• Opt out of non-essential communications.
